How Official USA Hockey Rosters Are Created

This explains how your official USA Hockey team roster gets built. Most of this process is handled by the club registrar, but head coaches and team managers share responsibility for several steps.

First, an important distinction:

Crossbar is the tool we use to manage registrations, group teams, and communicate schedules — it is not your official USA Hockey roster. That said, Crossbar must be kept in 100% sync with your official USA Hockey roster at all times.

USA Hockey rosters are created through the USA Hockey portal, which is the club registrar's responsibility. Your official roster is generated from that portal.

Every head coach and team manager is responsible for ensuring these two rosters stay in sync, and must communicate with the club registrar throughout the season whenever a change is needed.

Who must appear on both rosters

All players, goalies, and any adult who interacts with the kids must be listed on both your Crossbar page and your USA Hockey roster. This includes anyone performing a team-level function — managers, locker room monitors, and coaches (even practice coaches).

Head coaches and team managers are responsible for maintaining this 100% compliance throughout the season and must notify the club registrar promptly whenever an update is needed.

Steps for Creating Your Official Roster

1. Team page creation. The registrar creates the team page in Crossbar.

2. Player assignment. The registrar assigns players to the team page in Crossbar.

3. Head Coach invitation. The registrar invites the Head Coach to the team page as a staff member via a Crossbar email invite. The Head Coach must accept this invite, then invite their Team Manager to the team page using the same process.

  • The option to require USA Hockey numbers when inviting an adult staff member must always remain on.
  • If a staff member is invited without that requirement in place, the registrar will remove them and the invite process must start over.
  • Collecting USA Hockey numbers this way is a critical step in rostering — it's the reason we use Crossbar to facilitate it.

4. Remaining staff invitations. The Team Manager ensures all Assistant Coaches and Locker Room parents are invited to the team page, following the same process. Any adult who has been invited and accepted will appear on the team page's homepage. If a name is missing, they either haven't been invited or haven't yet accepted.

5. USA Hockey portal entry. The registrar creates a matching team entry in the USA Hockey portal and transfers over player USA Hockey numbers, then does the same for all associated adults.

6. Adult eligibility criteria. Before any adult can be rostered in the USA Hockey portal, they must meet USA Hockey's criteria:

  • USA Hockey Background check (every other year)
  • SafeSport training (yearly)
  • For coaches: coaching age module, plus applicable CEP

The portal tracks who still needs to complete which requirement, and won't let the registrar add an adult to a team until all criteria are met.

A note on SafeSport: Since it's a yearly requirement completed year-round, it can expire mid-season if not renewed. An expired SafeSport certification automatically redlines that adult — removing them from the USA Hockey roster until they retrain. The club registrar is notified by email when this happens, and the affected adult gets reminder emails roughly 60 days before expiration. Renewing during that window avoids redlining. If someone misses the renewal and gets redlined, they must retrain and notify the club registrar directly — the registrar's automated notices only cover expirations, not renewals.

7. Locker Room Monitors. USA Hockey requires every team to have Locker Room Monitors.

  • Coed teams: all coaches are dual-rostered as Locker Room Monitors.
  • Girls teams: volunteer moms must fill this role and complete the same training/steps as a Team Manager. Any female coaches on girls teams are also dual-rostered as Locker Room Monitors in the USA Hockey portal.

8. Roster approval. Once all adults, players, and goalies are loaded at the team level in the portal, the club registrar approves the roster. That approval then goes to the USA Hockey district registrar for a second approval. Once approved at the district level, your official USA Hockey roster becomes available in the portal. The club registrar receives this notice and forwards it to team staff.

9. Ongoing accuracy. The Head Coach and Team Manager are 100% responsible for keeping their roster accurate and synced between Crossbar and the USA Hockey portal. If a descripency or change is necessary, they must reach out to the club registrar immediately. Player/Goalie changes also require the approval of the Hockey Operations team. Questions at any point should go to the club registrar.

10. Certified birth dates. If a player's birth certificate has been validated by the district registrar, a notification appears on the USA Hockey roster — meaning you don't need to collect a birth certificate from that family. The club works to get all birth certificates certified with the district registrar, but this is a manual process; we'll reach out to team managers as this happens.
